What is SaveDate and what do I get?
SaveDate turns your event details into a shareable online invitation with its own link. You fill in a few forms; we build the invitation page, host it, and give you a link to send on WhatsApp or anywhere else.
Your invitation can carry the couple’s details, every ceremony with its date, time and venue, a banner slider, a photo gallery, family introductions, YouTube videos, a live stream, background music, your printed invitation card, a countdown, an RSVP form and written greetings from guests.
Wedding and Engagement invitations are available now. The other types on the New invitation page are marked Soon and cannot be selected yet.
Is SaveDate totally free?
Yes — SaveDate is free to use at the moment. There is no trial period, no card required and no charge for creating, publishing or sharing an invitation.
Everything described in this knowledgebase is included: all themes, unlimited edits, the photo gallery, videos, live streaming, RSVP, greetings and music.
If we ever introduce paid features we will say so clearly, in advance, and nothing will be charged without you choosing it. Our Terms reflect that the service is currently provided free of charge.
How do I create an invitation?
- Open your Dashboard and press New Invitation.
- Choose Wedding or Engagement. Tapping the card takes you straight on.
- Enter the couple’s names and the main date, then continue. Your invitation is created as a draft — nothing is public yet.
- Pick a theme when the editor opens. You can change it later without losing anything.
- Work down the left-hand menu, filling in each section, pressing Save & Continue as you go.
You do not have to finish in one sitting — everything saves automatically.
When does my invitation go live?
Your invitation publishes itself as soon as these four essentials exist, and a theme has been chosen:
- The first name of the first person (Bride, by default).
- The first name of the second person (Groom, by default).
- At least one event in When & Where, with its date and venue.
- At least one banner image.
Until then it stays a draft and Preview is locked, because there would be nothing meaningful to show. Everything else — gallery, family, videos, music, RSVP, greetings — is optional and can be added later while the invitation is already live.
Do I need to save my work?
No. Every change saves itself about a second after you stop typing, and a small Saving… / Saved label near the top of the menu tells you when it happens. If it ever reads Not saved, your last change did not go through — check your connection and any highlighted fields.
The only time we ask you anything is when an invitation still has required details missing and you head back to the dashboard. We ask whether to keep it as a draft or discard it, so half-started invitations do not pile up. Choose keep and we never ask again for that invitation.
How do I upload a banner image?
The banner is the photo at the top of your invitation, and one banner image is required before your invitation can publish.
- Open your invitation from the Dashboard.
- Select Banner Image in the left-hand menu.
- Press the upload box in the middle of the panel.
- Pick one or more photos from your phone or computer — you can select several at once.
- Reposition each photo if you want, so the important part stays in frame on every screen size.
- Press Save & Continue.
If you upload more than one, the banner becomes a slider that moves between them automatically.
Accepted formats: JPG, PNG, WebP and iPhone HEIC, up to 8 MB each.
How do I add gallery photos?
- Select Gallery in the left-hand menu.
- Press the upload box and choose your photos — several at once is fine.
- Reposition any photo so it crops well.
- Press Save & Continue.
Gallery photos appear in a grid on your invitation and open into a full-screen viewer that guests can swipe through. You can rename the section heading (for example to Our Moments) or hide it completely from the same panel.
How many images and videos can I upload?
- Banner — up to 4 images (at least 1 required).
- Gallery — up to 16 photos.
- Family — one photo per person.
- Videos — up to 3 YouTube videos.
- Live streaming — 1 YouTube Live link.
- Invitation card — 1 image of your printed card.
- Music — 1 audio file.
File limits: images must be JPG, PNG, WebP or iPhone HEIC, up to 8 MB each. Music must be MP3 or M4A, up to 10 MB.
How do I change the order of my banner or gallery photos?
Photos appear in the order you see them in the editor, and you can drag them into any order you like. This works for banner images, gallery photos and family members.
On a computer
- Open the Banner Image, Gallery or Family section.
- Click and hold a photo, then drag it to its new position.
- Release. The new order saves itself and a short Order updated message confirms it.
On a phone or tablet
- Press and hold a photo for about a second until it lifts.
- Without letting go, drag it where you want it.
- Let go. The order saves itself.
The hold is deliberate: a normal quick swipe still scrolls the page, so you will not accidentally shuffle your photos while browsing. The first banner image is also the picture used on the WhatsApp preview card, so drag your favourite to the front.
How do I delete several photos at once?
- Open Banner Image, Gallery, Videos or Greetings.
- Press Select at the top of the list.
- Tap each item you want to remove — they mark as selected.
- Press Delete (n) and confirm, or Cancel to back out.
While Select mode is on, dragging to reorder is paused so the two gestures do not fight each other. Press Cancel to go back to dragging.
How do I add or update When & Where?
- Select When & Where in the left-hand menu.
- Press Add event for a new function, or the edit icon on an existing one to change it.
- Name the function — for example Wedding Ceremony or Reception. This label shows on the invitation and in the RSVP form.
- Set the date, the start time and, if you want, an end time.
- Enter the venue name and address.
- Set the map location so See Location works — see how to copy a Google Maps link.
- Press Save. Repeat for each function.
Add as many functions as you need. With more than one, the RSVP form automatically asks guests which they plan to attend. You can also rename the section heading or hide the whole section.
Changing the date here also moves the countdown on your invitation — see the countdown timer.
Does my invitation have a countdown timer?
Yes, and it is automatic — there is nothing to switch on. Every theme shows a live countdown in days, hours, minutes and seconds.
The countdown targets your event date: the main date you set when creating the invitation, or the date of your first event in When & Where, at that event’s start time.
To change what it counts to
- Open When & Where.
- Edit your first event and change its date or start time.
- Press Save. The countdown updates immediately.
Once the date has passed the countdown simply reads zero — your invitation stays online and readable, so guests can still look back at it.
Can I add family member details?
Yes. The Family section introduces parents and loved ones, and it is completely optional.
- Select Family in the left-hand menu.
- Press Add member.
- Upload their photo, enter their name, and their relationship — for example Father of the Bride.
- Press Save, and repeat for each person.
You can drag members into any order (see changing the order), rename the section heading — many people use With the Blessings Of — or hide the section entirely if you would rather not include it.
How do I fill in the Bride and Groom details?
Each person gets a photo, a first and last name, a short About paragraph and up to six social links. Only the first name is required — it appears across the invitation and in the monogram some themes draw.
- First letter fills itself from the first name and drives the monogram artwork; you can override it.
- Who appears first can be switched, so the invitation leads with either person.

How do I add YouTube videos?
You can add up to 3 YouTube videos. They appear as thumbnails that play in place on the invitation.

- Select Videos in the left-hand menu.
- Paste the link into the box.
- Press Add Video. The thumbnail appears straight away.
Only YouTube links work. If a link is rejected it is usually a channel or playlist link rather than a single video — open the video itself first, then copy.
How do I create a live streaming link?
A live stream lets guests who cannot travel watch your ceremony from the invitation itself. You create the stream on YouTube, then paste its link into SaveDate.
Step 1 — create the stream on YouTube
- Your YouTube account must have live streaming enabled. Turning it on for the first time can take up to 24 hours, so do this a day or two before the event — not on the morning.
- Open YouTube Studio on a computer, or the YouTube app on your phone.
- Press Create → Go live.
- Choose to stream now, or schedule it for your ceremony date and time. Scheduling is better: you get the link straight away and can add it to your invitation in advance.
- Give it a title and set visibility to Public or Unlisted. Unlisted means only people with the link can watch — which is exactly what your invitation gives them.
Do not choose Private. Private streams only play for accounts you invite individually, so your guests would see nothing.
Step 2 — copy the link
- Open the stream you just created or scheduled.
- Press Share.
- Press Copy link.
Step 3 — add it to your invitation
- Select Live Streaming in the left-hand menu.
- Paste the link into the box.
- Press Add Live Stream.
The Live Streaming button then works on your invitation. Guests who tap it before you begin see YouTube’s waiting screen with your scheduled time.

Can I upload my printed invitation card?
- Select Invitation Card in the left-hand menu.
- Upload a photo or scan of your printed card.
- Press Save & Continue.
An Invitation Card button then appears on your invitation and guests can open the full card from it. Leave it empty and the button simply tells guests the card is not available yet.
Can I add background music?
- Select Appearance in the left-hand menu.
- Find the music section and upload an MP3 or M4A file, up to 10 MB.
- Use Trim to choose which part of the song plays, so you can skip a long intro.
- Press Save.
On the invitation, music starts on the guest’s first tap — browsers block sound before that — and a speaker button lets them mute it at any time. You can switch music off without deleting the file.
Please only upload music you have the right to use.
Can I change the theme and customise the look?
Yes, as often as you like, and switching theme never deletes your content.
- Select Appearance in the left-hand menu.
- Press Change theme.
- Pick a theme — the preview updates immediately.
- Press Save & Continue.
Each theme remembers its own colours and background, so you can try another and come back to find your palette exactly as you left it.
Can I change the colours?
- Select Appearance in the left-hand menu.
- Scroll to the colour swatches.
- Tap any swatch and choose your colour. The preview updates as you pick.
- Press Save & Continue.
You can set the primary colour, the background, heading and body text colours, and the button background and text.
Keep an eye on the preview as you go: very dark text on a very dark background (or light on light) becomes hard for guests to read. If something disappears, lighten one of the two.
Can I change the background?
- Select Appearance in the left-hand menu.
- Open the Background options.
- Choose the theme’s own background, or upload your own image.
- Drag the opacity slider to set how strongly it shows through — lower keeps text easy to read.
- Press Save & Continue.
You can also hide the background image entirely and keep a plain background colour. Each theme remembers its own background, so switching themes and coming back keeps your choice.
Can I rename or hide a section?
Yes — When & Where, Gallery, Family, Videos, RSVP and Greetings can each be renamed or hidden.
- Open the section in the left-hand menu.
- Use the title control at the top of the panel to type your own heading — up to 30 characters. For example Family becomes With the Blessings Of, or Gallery becomes Our Moments.
- Use the show/hide switch to remove the whole section from the invitation.
- Press Save & Continue.
Hiding a section never deletes its contents — switch it back on and everything returns.
Do guests need to sign in to view the invitation?
No. Guests simply open your link and see the invitation. There is nothing to install, sign up for or log in to — and that includes sending an RSVP and writing a greeting.
It works in any normal phone or desktop browser.
Can I change the content after sending the link?
Yes. Keep editing as much as you like — changes appear on the live invitation immediately, and the link stays the same. Guests who already have it will see the updated version next time they open it.
This means you can safely share early and keep adding photos, videos or extra functions later.
How many people have viewed my invitation?
Every invitation card on your invitations shows three running totals:
- Views — how many times guests have opened the invitation.
- RSVP — how many replies you have received.
- Greetings — how many wishes guests have written.
These update on their own as guests visit, so they are a quick way to check a shared link is actually reaching people.
Views count visits, not individual people — one guest opening the link three times counts three times. We do not ask guests to identify themselves, so there is no list of who visited.
What do my guests actually see?
Guests open your link and land on the banner with the couple’s names, the date and a live countdown. Scrolling down, they get whichever sections you filled in, and a small menu button lets them jump between them.
Along the way they can:
- Tap Invitation Card to open your printed card.
- Tap Send Greetings to write you a wish.
- Tap Live Streaming to watch the ceremony.
- Tap See Location on any function for directions.
- Open gallery photos full-screen, play your videos, and submit an RSVP.
- Mute or unmute your background music.
- Share the invitation onward with the share button.
Anything you left empty or switched off simply does not appear.
What is RSVP and what is it for?
RSVP is how guests tell you whether they are coming. Instead of chasing people individually, your invitation carries a short form and the replies collect in one place.
Guests are asked for their name, an optional email, whether they are attending, how many people are coming, and an optional message. If you have added more than one function, they are also asked which ones they will attend.

How do I manage RSVP responses?
- Open your invitation and select RSVP in the left-hand menu. A dot on the menu item means new replies have arrived.
- Every response is listed with a tick or cross showing whether they are attending, the guest’s name, the number of people, which functions they picked, their contact details, the date they replied, and any message they wrote.
- Use the search box to find a particular guest by name.
- Press the bin icon on a row to delete a response — useful for duplicates or test entries.
You will also see new replies in Notifications.
Add up the number of people column rather than counting rows — one reply can cover a whole family.
Can I turn RSVP off?
Yes, and you can also fine-tune it rather than removing it entirely.
- Select RSVP in the left-hand menu.
- Switch the section off to remove the RSVP form from your invitation completely.
- Or keep it on and adjust it: set a reply-by date (shown to guests above the form), turn off the number of people question, or rename the section heading.
- Press Save & Continue.
Turning the section off hides the form but keeps any replies you have already received, so nothing is lost if you switch it back on.
How do greetings work, and do I have to approve them?
Guests can write you a wish from the Send Greetings button on your invitation. Nothing appears publicly on its own — every greeting waits for your approval, so you always control what guests see.
Approved greetings appear on your invitation as a moving slider.
How to approve them
- Open your invitation and select Greetings in the left-hand menu. A dot on the menu item means new wishes are waiting, and each new one is tagged NEW.
- Read the message.
- Flip the Approve switch next to it. The label changes to Published and it appears on your invitation straight away.
- To take one back down, flip the same switch off again.
Approving several at once
- When two or more are waiting, an Approve all button appears at the top of the list — one tap publishes all of them.
- Or use the select mode to tick individual greetings, then Approve or Disapprove the whole selection together.
Each greeting also has a Delete link if you would rather remove it than simply leave it unpublished.
Can I turn greetings off?
- Select Greetings in the left-hand menu.
- Switch the section off.
- Press Save & Continue.
The Send Greetings button disappears from your invitation and the greetings slider is hidden. Wishes you already received are kept, so switching it back on restores them.
You can also rename the section heading — for example to Blessings — from the same panel.
How do I copy a YouTube video link?
On a phone (YouTube app)
- Open YouTube and play the video you want.
- Tap Share under the video.
- Tap Copy link.
- Return to SaveDate, tap the video box and paste it.
On a computer
- Open youtube.com and open the video.
- Copy the whole address from the browser’s address bar, or click Share → Copy.
- Paste it into SaveDate.
All of these forms work:

A channel or playlist link will not work — open the individual video first. The video must be Public or Unlisted, not Private.
How do I copy a Google Maps link and set the venue?
You can either search for the place in our own map box, or paste a Google Maps link and we read the exact spot from it.
Copy the link on a phone
- Open the Google Maps app and search for your venue. If it is not listed, press and hold the exact spot to drop a pin.
- Tap the place name or the address card at the bottom.
- Tap Share.
- Tap Copy link — it looks like

Copy the link on a computer
- Open maps.google.com and find the venue.
- Click Share → Copy link.
Add it in SaveDate
- Select When & Where and edit the event.
- Paste the link into the Google Maps link box — the pin moves there automatically.
- Press Save.
Guests then get a working See Location button that opens directions in their own maps app.
How do I copy my social media links?
These go in the Bride and Groom sections. Each wants your profile address, not a single post.
- Open your profile in the Instagram app.
- Tap the share or ⋮ icon, then Copy profile URL. On a computer, copy the address bar while viewing your profile.
- It should look like

- Open your profile on Facebook.
- Tap the ⋮ menu → Copy link, or copy the address bar on a computer.
- Just enter your phone number with country code — for example
+91 98765 43210 - We turn it into a chat link for your guests, so there is nothing to build yourself.
X (Twitter), LinkedIn, YouTube, Pinterest
- Open your profile or channel on X, LinkedIn, YouTube or Pinterest.
- Use Share → Copy link, or copy the browser address bar.
Each box only accepts links from that network, which catches the common slip of pasting an Instagram link into the Facebook field. The email box wants a plain address, not a link.
Where do I see notifications and get help?
- Notifications collects activity on your invitations, such as new RSVPs and greetings.
- Support is where you raise a ticket and read our replies in one thread. Tickets close after a period of inactivity; replying reopens them.
- Report a problem is for abuse, impersonation or content that should not be on the platform — including invitations that are not yours.
How do I change my password or secure my account?
From Settings you can update your profile, change your password, and turn on two-factor authentication with an authenticator app — which then asks for a six-digit code as well as your password when you sign in.
You can also disable or delete your account there. Deleting is permanent and takes your invitations with it, so their links stop working.
Who can see my invitation?
Anyone with the link. A published invitation is a public web page — that is what makes it shareable — so treat the link the way you would the invitation itself, and only upload photos you are happy to share that way. While it is still a draft, only you can see it.
What data do you collect?
The short version: we collect what is needed to run the service, keep it secure and prevent abuse — not to build advertising profiles.
- We do not use browser fingerprinting, canvas hashing or hidden tracking scripts.
- We keep sign-in records, including IP address, so accounts can be protected and abuse investigated.
- Guests viewing your invitation are counted, but never asked to identify themselves.

How do I delete an invitation?
Open your invitations and use the delete option on that invitation’s card. Deleting is permanent and its link stops working, so guests who kept the link will no longer see anything.
If you only want it out of sight for now, take it back to a draft instead of deleting it.
Why do I have to confirm my email?
We ask you to confirm your email address once, the first time you publish an invitation. Signing up stays quick — nothing is asked of you until you actually have something to share.
It matters for two reasons: your address is how you get back into your account if you forget your password, and confirming it keeps automated sign-ups from filling SaveDate with junk pages.
- Press Confirm now on the reminder, or try to publish and the box will appear.
- Check your inbox for an email from SaveDate.
- Either tap Confirm my email in that message, or type the 6-digit code back on the site. Both do exactly the same thing — use whichever is easier.
You only ever do this once. Every invitation you make afterwards publishes straight away.
Email not arriving? Check your spam or junk folder first. The link and code both last one hour, so if a while has passed just ask for a new one. If the address you signed up with has a typo, press Change in that same box to correct it — your account moves to the new address as soon as it is confirmed. Still stuck after a couple of tries? Signed in with Google? Then there is nothing to do — Google has already confirmed your address, so you will never see this step.
Why is the Preview button locked?
Preview unlocks once the four essentials are in place: both first names, at least one event with a date and venue, and at least one banner image. Before that there is not enough to show. See when does my invitation go live.
My photo will not upload
Check the file is JPG, PNG, WebP or HEIC and under 8 MB. Photos from some editing apps are far larger than they look. If it still fails, try a different photo to narrow it down, then raise a ticket and tell us the file name and size.
Why does the music not start straight away?
Browsers refuse to play sound until the visitor interacts with the page. Your music therefore starts on the guest’s first tap, and the speaker button lets them mute it whenever they want. Every website works this way — there is nothing to fix.
My venue is not on Google Maps
Press and hold the exact spot in Google Maps to drop your own pin, then share and copy that link — it carries the coordinates even when the place has no listing. Steps are in how to copy a Google Maps link.
Does it work on phones?
Yes, for you and your guests. You can build and edit an invitation entirely from a phone, and every theme is designed to read well on small screens as well as desktops.
